Invoices, statements and reports
Tikit keeps your paperwork for you: an invoice when a buyer needs one, a statement with every payout, and sales reports for any dates. You find all of it under Reports in the dashboard.
Your tax details
Under Organiser profile, the Tax and invoicing card holds your legal name, your VAT number, your registered address and an accounts email. Only the owner can change them. Leave the VAT number empty if you aren't registered for VAT. A VAT number is 10 digits and starts with 4, and a VAT invoice needs your registered address too.
The accounts email gets a copy of every statement and Tikit invoice. Changing your details affects invoices made after that; invoices already issued stay exactly as they were.
Invoices for your buyers
A buyer who paid online can open their order page, add their company's name, VAT number and address, and press Issue invoice. Tikit makes the invoice in your name, as your booking agent, and emails it to the address on the order.
- If you have a VAT number it is a Tax invoice with the VAT shown. If you don't, it is an Invoice with no VAT.
- Your tickets and any booking fees you charged are on your part of the invoice. Tikit's fee and any tip the buyer gave sit in a separate Tikit section, because Tikit supplies those, not you.
- Orders you record yourself, such as box office sales, comps and invoiced orders, don't get one from Tikit. Those are your own paperwork.
Credit notes
Each refund produces a credit note against the invoice, if one was issued. It shows the amount refunded and the reason. The Tikit fee and tips are not refunded, so they are not on the credit note.
Tikit's invoice to you
Once a month Tikit issues an invoice for the fees it took from your sales. The fees were already deducted, so there is nothing to pay. It becomes a Tax invoice with VAT only when Tikit is registered for VAT. Until then it is a plain invoice that says so.
Statements after every payout
Every payout that is paid comes with a settlement statement and remittance advice: the amount, the date, the bank account it went into (the last four digits only), and what it covers, by ticket tier and by money in and out. We email the PDF to you. On Reports, then Documents, you can download any of them as a PDF or a spreadsheet.
Reports and exports
Reports shows sales across all your events for the dates you pick, split by payment method, channel, event, ticket tier and day. Choose an event to look at one on its own.
You can ask for a file for those dates: orders as a spreadsheet, the ledger as a spreadsheet, or a statement as a PDF. The orders file leaves out buyers' names, emails and phone numbers. Files are made in the background and kept for 7 days.
Scheduled emails
Under Scheduled emails you can send a daily or weekly summary to anyone, such as a partner or an accountant, without adding them to your team. Daily emails go out at 07:00 about the day before; weekly ones on Monday at 07:00 about the week before. You can add up to 10 addresses to each.
What people get: ticket counts and sales by tier, compared with the time before. They never see buyers' details, fees or payouts. Every email has a Stop these emails link that works for that address alone.
Numbers and changes
Invoices and credit notes are numbered in order, with no gaps: INV-000001, INV-000002, and CN-000001 for credit notes. Once a document is issued it can't be edited or deleted. If something needs correcting, it gets a credit note.
